Sync Leads from Your Lead Ad Forms to HubSpot

Once your ad accounts are connected, your existing lead ad campaigns will appear automatically on your HubSpot Ads dashboard. From there, you can configure which pages or accounts sync leads directly into HubSpot.


Before You Get Started

Make sure you have the correct permissions for each platform before setting up lead sync:

  • Facebook — requires ad account admin access, page admin access, and Business Manager leads access.
  • LinkedIn — requires Super Admin, Content Admin, or Lead Gen Forms Manager role on the associated LinkedIn Business Page. Also ensure the Email field is included and marked required in your LinkedIn Lead Gen Forms.
  • TikTok — requires admin access in the TikTok ad account.
  • Google — requires admin access in the Google Ads account. Also note:
    • Forms sync at the campaign level — lead ad forms must be associated with an active campaign.
    • Only submissions from Google Lead Form Extensions via Google or YouTube are supported.
    • Auto-tagging must be enabled in your Google Ads account.

Configure Your Lead Sync Settings

  1. In HubSpot, click the Settings icon in the top navigation bar.
  2. Go to Marketing > Ads.
  3. Click the Lead syncing tab at the top.
  4. In the upper right, click Connect.
  5. Select your ad network in the dialog box.
  6. Configure your settings:
    • Check the box next to each page or ad account you want to sync leads from.
    • Facebook: pages must be selected manually — they won't connect automatically even if they're under a connected Facebook Ads account.
    • LinkedIn: ensure the Email field is included and marked required in your Lead Gen Forms.
    • If your account has access to marketing contacts, toggle on Set as marketing contacts to register synced leads as marketing contacts.
    • For Facebook and LinkedIn, choose a sync timeframe:
      • New & recent leads — syncs leads from the last 90 days plus new leads going forward.
      • New leads only — syncs only leads submitted after setup.
    • Google only syncs leads going forward — no historical leads are synced.
  7. Click Save.

Fix Lead Syncing Errors

If HubSpot detects issues with any connected pages or forms, an alert will appear on your Ads dashboard.

  1. Go to Marketing > Ads.
  2. Click View errors in the alert at the top of the page.
  3. Locate the page showing a form error and click the page name.
  4. In the right panel under Forms, click the form name with the error.
  5. In the Field mappings table, hover over the error in the Status column to see details and resolution steps.
  6. If the error is due to a field mapping issue, click Edit mapping to update it.
